How to Set Up Email Filters to Organise Your Inbox
We all spend far too much time deleting marking emails and organising all of our purchases. The best way to handle all those emails is through automation - by setting up a few basic email filters, you can force your inbox to organise itself before you even log in.
Routing The Newsletters Automatically
Almost every marketing email, newsletter, or promotional blast contains the exact same word at the bottom of the page. That word is "unsubscribe" - and you can use this legal requirement to your advantage!
Create a filter that looks for the word "unsubscribe" in the body of the email. Once the filter detects that word, setting the rule to send the message directly to the Promotions tab, or add a label called Marketing (or something similar). You still get the emails, and you can browse them when you actually want to buy something, but they stop interrupting your day.
You can do the same thing for invoices, purchases and order tracking info by changing some of the variables, too! Orders from Amazon, for example, will commonly come from a specific email (in the UK, auto-confirm@amazon.co.uk is a common one), or feature a phrase like “receipt”, “order” or “invoice”. Add these to your filter to help keep things neat and organised.
How To Create The Rules
If the video above isn’t loading for you, the process is pretty simple - and nearly identical across all major platforms like Gmail, Outlook, and Apple Mail.
Open your email client on a desktop computer, as mobile apps often lack full filter settings.
Locate your settings menu and look for a section labelled Filters or Rules. In Gmail, this is under Settings and then Filters and Blocked Addresses. In Outlook, it is found under Settings, then Mail, and then Rules. If you’re using gmail, you can access this directly from the search bar by typing a phrase or email address.
Select “Create a new rule” and define your condition. This could be a specific sender address, a subject line, or a word in the email body like "unsubscribe".
Choose the action. Tell the system to move the message to a specific folder or skip the main inbox entirely.
Save the rule. Most services will ask if you want to apply this new filter to existing conversations. Select yes to clean up your current inbox instantly.
Once you set these rules, they run quietly in the background. You will spend less time managing digital clutter and more time focusing on the messages that actually matter.
